Can the name or type of role be changed?


When a new role is added to the Hub, only two pieces of information are initially provided:

  • Role title
  • Type of role

Whilst any mistakes can be corrected via the Role Settings, there might be unintended consequences for any current and archived assignments.
 

Changing the role title

If the role title is changed in the Role Settings, it will be changed for all current and archived assignments.

Is this what you really want?

Consider the scenario where a Friday Youth Group moves to a Saturday.  If the title of a role is changed to 'Saturday Youth Group Leader', all current and archived assignments would also be changed to this new title.  This would be incorrect.

Instead, the correct procedure would be:

  • To end all assignments for the 'Friday Youth Group Leader' (via the People Manager)
  • To archive the role (via the Role Creator)
  • To add the new role of 'Saturday Youth Group Leader' (via the Role Creator)
  • To assign people to the new role (via the People Manager)

This will correctly preserve the history of both roles.
 

Changing the type of role

If the type of role is changed in the Role Settings, it will immediately change:

  • The guidance notes for DBS requirements
  • The guidance notes for safeguarding training requirements

Please note that this will NOT automatically update the specified DBS or training requirements - only the guidance notes are changed.

Therefore, it is important that these requirements are now checked against the new guidance.

Next, the Role Description and Person Specification  must also be checked and updated.
